BACKGROUND & GOALS

Promethean has reimagined and reinvented educational technology solutions to empower teachers and students globally. They attend large tech events which feature escape rooms. Alongside the success of their escape rooms in driving traffic, Promethean also wanted a lead capture system that provided more opportunity for personalization and quality conversations than rented lead scanners.

Managing disjointed systems across Promethean's events 

They suffered from delayed follow-up for leads captured at their events as a result of the inconsistent systems they utilized. They also lacked visibility into events, with an inability to differentiate leads from various activations like their booth versus their escape room expeirence. Morevoer, they lacked conssitency across events in terms of platform usage. They often had to change systems to suit each event, requiring their team to learn or relearn tools each time.

SOLUTION

Empowering Promethean's team with iCapture for faster lead generation

Promethean decided to utilize Cvent's iCapture solution to create a consistent platform experience across their events. They also were able to increase their speed of lead for faster follow-up while providing visibility into key event data for stakeholders.

With iCapture, Promethean can separate their captured escape room leads from their captured booth leads. While capturing a lead within the booth, they simultaneously capture qualifying data as well to ensure a quick follow-up post-event. For escape room attendees, they need a faster process so booth staff simply scan the badge without any qualifying questions. iCapture allows Promethean to customize the lead capture for each situation, something that was missing with previous lead scanning systems.

Ensuring expediency across Promethean's internal team

In addition to consistency and speed, Promethean also gained more visibility into their events through iCapture. “In the past, especially using a third party, we didn’t have a way to differentiate between leads from the escape room versus the booth, or a whole lot of other details,” says Benjamin Smith, Vice President of Marketing.  “Our actual lead data is richer now.”

The detailed breakdowns for each show has helped Promethean’s marketing team make data-driven decisions and event investments. This visibility, alongside the other benefits of iCapture’s automation, gives them a strategic advantage. They now have successfully increased visibility for stakeholders while ensuring there is one consistent process for their team to follow. They have also seen decrased follow-up time for their lead generation.
