BACKGROUND

Established in 1987, Educate Plus is a membership-based organisation catering to advancement professionals in marketing, communications, admissions, enrolments, fundraising, and alumni relations within schools and tertiary universities across Australia and New Zealand, and recently expanded to Asia. The organisation has recently introduced a focus on leadership and people & culture. With the help of their lean team of eight at their head office, and their over 120 volunteers, Educate Plus manages numerous events, including their flagship biennial international conference – the Empowering Success International Conference.

GOALS 

Provide a seamless user experience

As Educate Plus has evolved over the years, so has the complexity of their events. For their flagship Empowering Success International Conference, their primary goal was to provide a seamless user experience, ensuring that all aspects of the event—from registration to onsite management—were efficiently handled. They needed a solution that could integrate their various event management needs, replacing the fragmented system they had previously relied on using multiple platforms. This integration was vital for managing budget efficiently, enhancing user experience, and achieving their strategic goals, including operational efficiency and sustainability

APPROACH

Sona Swindley, the Events Manager at Educate Plus, was already familiar with Cvent, having used their app in the past. Recognising the need for a more integrated setup to manage the increasing sophistication of their events, she decided to adopt Cvent’s comprehensive event management solution, which offered a unified approach to managing all aspects of the event. She needed a system that could handle complex registrations, while providing a superior user experience.

Their brand ambassador Sandra Herd envisioned a website and app that were both engaging and informative. Cvent made this vision a reality by enabling seamless updates, with content automatically syncing between the website and the app. This streamlined the entire process significantly. “I only had to put a speaker in once and they were on the website and they automatically went into the app as well,” says Sandra.

Educate Plus also wanted to transition to a digital check-in process to improve the overall event experience. As Sona states, “We took a more digital approach as it portrays our organisation in the right light, that we're moving along with technology – as we should.” 

The Educate Plus team anticipated a surge in exhibitors at their international conference, making a robust exhibitor management system essential. Cvent’s Exhibitor Portal offered the centralised solution they needed to efficiently manage exhibitor information and interactions.

RESULTS

Reduced administrative burden

The Educate Plus team appreciated the seamless integration of registration, website, app, and onsite processes. The unified system reduced the administrative burden on the small team, allowing them to focus on delivering a high-quality event. 

Adopting Cvent’s OnArrival tool to streamline the check-in process helped reduce queues and enhance the overall attendee experience. This was a significant improvement from their previous manual system of pre-printing name badges. Feedback from attendees on the check-in was very positive, with many praising the smooth experience.

Enhanced Engagement

The high app engagement demonstrated that attendees were utilising it for information and interaction, enhancing their overall experience. The increased app adoption also led to a reduction in paper usage, which aligned with the organisation’s sustainability goals, marking a significant achievement in their strategic plan. Says Sandra, “We had an event guide, which in 2022 was 155 pages long. We brought it down to probably 40 pages. We were able to get rid of a lot of information that we previously printed in the guide – we now have all of that in the app instead. The app was really well received, with 96% of the respondents of our post-event survey being impressed with the app experience, which was fantastic!”

Standout Reporting and Support

The reporting features were a standout for Educate Plus. The custom reports and data insights from Cvent enabled better event analysis and planning, ensuring that the event met its strategic objectives. “The reporting was an incredibly useful tool that guided us throughout the process and assisted with post-event analysis,” remarks Danielle Hargrove, their Marketing and Communications Lead.

Cvent’s dedicated event support team played a crucial role in the event's success. Their assistance ensured that any issues were promptly addressed, allowing the event to run smoothly. The Educate Plus team found Cvent’s online resources and videos valuable, helping the team troubleshoot and learn about the platform’s capabilities.

LOOKING FORWARD

Following the success of their recent international conference, Educate Plus is optimistic about their future events. They plan to continue leveraging Cvent’s comprehensive event management solutions to further enhance their events. With the knowledge and experience gained from this event, they anticipate even greater efficiency and attendee satisfaction in the future.
